Registration
The registration for the 9th International Conference on Photonics, Devices and Systems (Photonics Prague 2025) will be handled by Ms. Milena Zeithamlová, a conference registration chair.
The deadline for early registration is April 28, 2025.
Registering early will save you money, and also it will help us to organize things better!
Registration Fees
All fees will be charged in Czech Crowns (CZK) and include relevant VAT.
For the current exchange rate, we recommend following the Czech National Bank page.
Regular, EOS, SPIE, CSSF Member, Student Registration Fees
include an attendance at the conference, conference package with printed program, refreshments during breaks, 2 lunches, Welcome Dinner, use of conference facilities, and publication of 1 paper, if presented at the conference, in Proceedings of SPIE with selected papers available after the conference
Students prove their student status by ID number (Student card) during the registration process. A copy of a valid student card or a student confirmation (in English) may be requested by organizers upon the arrival at the registration desk.
All Reduced Registration Fees
include the same as Regular, EOS, SPIE, CSSF Member, Student Registration fees except lunches
Additional Paper Fee
For each accepted paper, at least one author should pay the registration fee and attend the conference to be included in the conference program.
Each registration includes free publication of up to 1 paper (if accepted) in the SPIE Proceedings, if presented at the conference.
If an extra paper or poster (2nd paper) is to be presented by the author, the second paper requires an Extra Paper Fee paid at registration.
If a paper is not presented, the manuscript will not be published.
Accompanying Person Fees
include refreshments during breaks, Welcome Dinner on Monday, July 9, 2025 and assistance with individual cultural events requests. Attendance at the Photonics Prague 2025 scientific program and sessions is not covered.

If you have any difficulties in sending the payment in CZK (Czech Crowns) by bank transfer, please contact the registration chair.
Please indicate your PROFORMA INVOICE number and your name as payment description/identification. Please make sure that the bank transfer is net of all bank charges and commissions made. Remaining charges will be requested upon your arrival when registering.
Confirmation / Proforma Invoice / Invoice
Once you have completed the online REGISTRATION FORM you will receive the email confirmation.
In the case of
credit card payment, the proforma invoice corresponding to your payment (pdf document) will be attached to the confirmation email. Confirmation email contains very important information including the status of your card payment. After your successful payment authorization, you will immediately receive a final invoice. (If the card payment is declined by the authorization centre, just click on the link of payment status and fill the card details again or use another card).

Cancellation Policy & Refund
All refund requests must be made in writing by email to the registration chair.
if a cancellation is made before May 9, 2025 the registration fee reduced by CZK 3 000 will be refunded
on and after May 10, 2025 no registration fees can be refunded
all refunds will be processed after the conference
If you cannot attend, your registration is transferable to another participant (the same type of registration fee). Please inform registration chair at as soon as possible, but not later than May 30, 2025 to whom your registration should be transferred to.
Visa Requirements & Invitation Letter
The Czech Republic is part of the European Union and Schengen agreement zone. Visitors from some countries may need visa to enter Czech Republic. The relevant information can be found on the web pages of the Ministry of Foreign Affairs of the Czech Republic. If you are not sure whether the visa necessity applies to you, contact the Czech embassy or consulate in your country.
If you need a Letter of Invitation to obtain a visa, Ms. Milena Zeithamlova (registration chair) will send you such a letter upon request, once you have registered for the conference and paid the registration fee.
For the letter of invitation the following information are welcome:

Passport number
Title of your paper
Czech consular authorities may ask you to enclose the confirmation of your accommodation as well as the health insurance for your stay in the Czech Republic.
